The Administrative Associate 2 serves as the first point of contact for the Department of Educational Psychology & Counseling. This position is responsible for the following duties:
Team lead for communications, marketing and events. Coordinates all departmental external communications with the College Communications team and the University Alumni/Online Engagement team to ensure compliance with college and university communication guidelines and policies. Responsible for ensuring the department adheres to all branding guidelines. Responsible for the department website. Primary contact for event scheduling. Provide administrative support for the Distance Education programs in Educational Psychology & Counseling. Maintain main office, fielding phone calls, welcoming visitors, and coordinating incoming and outgoing mail.
Lead for all communications for the department. Coordinate with College Communications team and the University Alumni /Online Engagement team to ensure compliance with college and university policies and procedures.
In conjunction with the Leadership Team, coordinate, collate, develop, edit, disseminate all informational materials for EPC, including, but not limited to tracking projects, formatting, drafting, editing, and preparing content for publication - press releases, external and internal documentation, posting to websites and social media.
Responsible for department and individual program websites. Works with faculty/personnel to draft, edit, and upload web page content. Update and maintain web pages including faculty bios., department/program information, stories, etc. all within the guidelines established by the college and university for branding, accessibility, content in a timely manner.
Responsible for coordinating the creation, editing, printing of all print material such as flyers, posters, etc., to ensure compliance with university branding guidelines.
Coordinate photo/video arrangements/permissions for website, publications, promotional/recruitment needs.
Drive customers to EPC social media platform for supplemental information
Monitor website in Google Analytics and provide semi-annual reports on web traffic to department heads.
Act as logo liaison for the department
Maintain a database containing demographic and academic information for graduate students enrolled in DE programs in the department
Exhibit considerable autonomy in use of procurement card following established practices and procedures
Use Argos to create class roll reports, timetables, and enrollment reports for faculty and staff
Use Internet Native Banner to give permission to students, add them to courses, and adjust their credit hours as necessary
Use Nolij and ADMIT to collect student data for reports
Responsible for maintaining, safeguarding, and storing documents, information, and files in accordance with policy.
Assist faculty and graduate students to enroll students in programs in the department and finding/completing materials necessary for graduation
Announce the dissertation defense of those students to college faculty and staff at least a week in advance, via email for any PhD DE program to be added.
Provide administrative and clerical services to include, but not limited to: copy editing general communications, course documents, compiling data for reports and planning purposes, processing orders for textbooks, desk copies
Assist in maintaining and organizing inventory of office supplies
Place orders through University Printing and Mail for the department, faculty and staff
Welcome face to face or through phone calls, visitors, students, faculty members, and staff members and referring issues to appropriate department personnel
Assist in the work room by keeping the machines in ready-to-use shape, assisting others make copies, send faxes, and scan materials.
Prepare mail to be sent out, sort incoming mail; reassign mailboxes as needed due to personnel changes.
Team lead for planning and executing all aspects of department events; will delegate tasks to other departmental associates as needed.
Plan departmental events, including tasks such as price comparison, scheduling/booking, ordering of food/supplies, and preparation of material
The successful candidate will be able to work independently, but also work well in a team; multi-task and quickly prioritize multiple requests; and problem solve. The candidate must maintain a high level of customer service and professionalism and deal well with the public.
